JOB DESCRIPTION:  EXECUTIVE DIRECTOR 

  

The Executive Director shall be responsible for maintaining the inventory of the Society's annual proceedings, a record of all standing orders for the proceedings, and systems and records that are essential for efficient membership drives and proceedings promotions.  The Executive Director shall sere as an information clearinghouse for members and non-members.  He/she assists the President and President-Elect in the performance of duties that are essential to sustain a learned society.  The Executive Director works under the direction of the Executive Committee to secure hotels and exhibitors for the Annual Conference.  He/she is responsible for the maintenance, storage and shipping conference equipment.

Custodian of Equipment

  • Store equipment when not in use, and
  • Ship equipment to and from Annual Conference.

Pre-Conference

  • Work with Board on surveying membership to determine conference location preferences,
  • Work with the Program Chair, Treasurer, and Director of Academic Services to obtain facility requirements,
  • With the direction of the Board, negotiate and secure conference hotels 2 years in advance,
  • Visit conference hotel to approximately 4 months prior to conference to review site and make adjustment as necessary, and
  • Send Treasurer all hotel contracts and addendums.

Conference

  • Meet with hotel staff 1 day prior to beginning of the conference to review details, adjust food/beverage amounts, and resolve any issues that might arise.
  • Set-up and collect equipment,
  • Act as liaison between hotel and officers,
  • Roam meeting rooms and administrative areas and resolve any problems that might arise,
  • Sign acknowledgements as required by the hotel, and
  • Assure that SMA property is removed (shipped) at the end of the conference.

Term of Service

  • The Executive Director is an appointed by the Executive Committee for a term of 2 years, ending in odd years.
  • The appoint may be renewal for additional 2 year terms.
  • A term begins at the close of the business meeting at the annual conference.
